Hybrid event broadcast

For hybrid events, request a dedicated broadcast director distinct from the in-room technical director. The two roles compete for attention if rolled into one — and the streaming experience always loses. Also request the AV partner's redundancy plan: bonded 4G uplink, backup encoder, and an off-site streaming engineer monitoring the feed.

What to budget

Indicative bands: a small board meeting AV setup runs €1,500–€3,000; a 200-person conference with stage build and basic livestream sits in €8,000–€20,000; a flagship corporate event with multi-camera broadcast, custom stage, immersive lighting and full crew rises to €40,000–€120,000+.

The technical questions to ask the venue

Before any AV quote can be reliable, the venue must answer a short list of questions in writing. Power: how many kilowatts are available per zone, on which circuits, and whether a generator is allowed. Rigging: the position and working load of the rigging points, and the free height under the ceiling or the lighting grid. Access: the loading dock, the maximum vehicle size, the freight lift dimensions and the delivery slots. Connectivity: a dedicated, wired internet line with guaranteed upload bandwidth for any livestream, tested under load before doors open. Rules: the venue's approved or mandatory AV suppliers, noise limits and the set-up and strike times included in the hire. Simultaneous interpretation

International conferences in Paris often run in two or more languages. Where the room has no permanent booths, the AV partner installs mobile interpretation booths at the back or side of the room, with a clear line of sight to the stage, and supplies receivers and headsets for every delegate who needs them. Count one booth per language pair, two interpreters per booth for sessions longer than about an hour, and plan the booth positions in the room layout from the start, because they take seats out of the plenary capacity. Regulations that shape the technical plan

Amplified sound in French venues open to the public is capped by decree no. 2017-1244 at 102 dB(A) and 118 dB(C), averaged over fifteen minutes. The same rules require free hearing protection and rest zones or rest periods for the audience, and, in larger venues, recording and display of sound levels. Your AV partner should set the system to these limits from the sound check, not on the night.

Rigging is the other regulated point. Under the order of 25 July 2022 on temporary structures, any rigging point taken on the building’s own structure requires a specific load calculation and a check that the point is suitable, and textile slings must have a non-combustible secondary safety. In practice, ask the venue for the working load of its rigging points before the stage and lighting design is fixed.

For livestreams, platforms publish minimum upload rates: YouTube recommends about 10 Mbit/s for 1080p at 30 frames per second and 12 Mbit/s at 60 frames per second. Plan a dedicated wired line with at least twice that capacity, so that a drop in bandwidth does not interrupt the stream.
